This will only be one copy, the servers already have archives of the mails. SO this is no overhead.

We can manage the indexes in a monthly basis, for every month there will be a new index. I think such problems can be solved once we start with a project.
thats it. although i wont be able work on this project now as i am doing one already! but i can provide help in designing the data structure for the index as am working on something like that...
